Required housing policy
The new policy is designed to streamline the housing process for directors and provide safe, secure, affordable, and appropriate lodging for all participants. Additionally, the Housing Service provides a consistent point of contact for groups that book official Dayton hotels, helping safeguard against last-minute issues when traveling.
Beginning with the 2027 WGI World Championships, all groups wishing to participate and needing to secure overnight hotel accommodations must utilize the official WGI Housing Service. Groups that do not comply with this requirement will not be permitted to compete in the World Championships. The number of rooms (and room type) must be proportionate to the number of performers to qualify for compliance.
Local area groups and organizations that wish to arrange alternative housing (e.g., YMCA, church, campground) can submit a Housing Waiver Request. Groups will find the waiver request form available on their Director’s Dashboard starting May 1st. The $150 waiver fee will be collected at the time of submission. A full refund will be provided in the unlikely event your waiver is not approved.

Just after the 2026 World Championships, groups already utilizing the WGI Housing Service will be offered via email the chance for a “renewal reservation” for the following year’s World Championships. Groups who respond prior to the deadline of Friday, May 29th will secure those reservations prior to opening of the housing service website to all groups. housing@wgi.org will email the renewal details to the contacts on file from the current season.
No. All groups attending the World Championships must use the WGI Housing Service to secure hotel accommodations for their performers. The Housing Service has hotels at a wide variety of price points. We encourage you to work with our Housing Service team who will help you find a great hotel on any budget. Groups who did not use the Housing Service in 2026 can work directly with housing@wgi.org between June 1 – June 12 if you know what property you are interested in. General access the hotel reservation links will appear on wgi.org/travel beginning June 15, 2026.
Groups with alternative housing options are required to submit a Housing Waiver Request Form and pay the $150 waiver fee.

The policy allows groups within 90-minute driving distance of UD Arena the ability to apply for a “waiver” for the housing service. To provide financial equity to all groups, there is a waiver fee of $150. See below for more information about the waiver process.
Refer your travel agent/company to housing@wgi.org. Hotel arrangements will be secured between your agent/company and the WGI Housing Service.

If you do not see a property you would like on the list:
- Contact housing@wgi.org to ask about the hotel in question.
- Encourage the hotel to request inclusion in the service.
Groups wishing to book housing using short term rental platforms are required to submit a Housing Waiver Request Form and pay the $150 waiver fee.
WGI receives a modest financial rebate from hotels participating in the Housing Service to help support the overall operations of the World Championships event. WGI is a 501(c)(3) nonprofit organization, and all revenue generated is used to advance the organization’s mission in full compliance with all applicable state and federal laws and regulations and board oversight.
While WGI is not exempt from the increasing economic pressure of operating its World Championships each year, it is the organization’s goal to minimize the financial impact on those who choose to attend. Any funds generated through the housing service help offset a portion of the cost for various operations that improve the performer experience at World Championships.
Recent investments approved by the Board of Directors can be seen at this year’s World Championships. These include adding new sites to allow the World Championships to continue expanding, renting additional spaces to support floor refolding during inclement weather, installing larger warm-up or prop tents, and adding carpet in the performance space at UD Arena during Percussion and Winds week.
In the unlikely event your waiver is not approved, a full refund will be provided.

- How will you ensure that staff do not share sleeping spaces with performers?
- If you have minors AND adult performers, how will you separate sleeping spaces by age?
- What measures ensure interactions are observable and interruptible in sleeping quarters?
Bathroom and Shower Facilities
- Please describe available bathroom and/or shower facilities.
- How will you ensure that staff do not use the shower facilities when performers are using them?
- If you have minor AND adult performers, how will you ensure minor performers do not shower at the same time as adult performers?
- If you have gender non-conforming or non-binary participants, what bathroom and showering accommodations are in place for those participants?
Contact housing@wgi.org. We will work with your group individually to assess the quantity of rooms needed. A common practice is a separate parent room block will open for a short window for them to sign up, so we are not holding an unrealistic number of rooms that end up going unused.
Contact us at housing@wgi.org. Tuesdays are generally held in the original contracts with the properties each year. Also, make sure to reserve early. As the event gets closer, WGI will release unused Tuesday nights back to the hotel, so we don’t hold a bunch of rooms that won’t be used.
